This Privacy Policy explains our practices regarding data collection, use, and disclosure when you use our mobile application. By using our app, you agree to the collection and use of information in accordance with this policy.

2. INFORMATION WE COLLECT

2.1 Account Information (via Sign in with Apple)

Our app uses Sign in with Apple as the sole authentication method. When you create an account, we collect:

Mandatory:

  • Unique User ID (provided by Apple)

Optional (at your discretion):

  • Email address
  • Name
  • University/School name
  • Graduation year
  • Reason for downloading the app

Important: If you choose to use Apple's "Hide My Email" feature, we will only receive the relay email address Apple provides, not your actual email address.

2.2 Resume Data

When you upload a resume to receive personalized interview content:

  • Processing: Your resume is transcribed on your device using Apple's native technologies (PDFKit)
  • Storage: Only the extracted text content is stored on our servers; the original file is not retained
  • Retention: Resume text is kept until you delete it or close your account
  • Use: Resume content generates personalized interview questions and feedback
  • No AI Training: We do not use your resume data to train AI models

2.3 Interview Audio & Transcripts

Audio Recordings:

  • Audio from mock interviews is never stored on our servers
  • Your audio is instantly transcribed on-device using Apple's Speech Recognition framework
  • Once transcribed, the audio is immediately discarded

Transcripts:

  • Text transcripts of your interview responses are stored on our servers
  • Used for providing interview feedback and analysis
  • Retained until you delete them or close your account
  • You can request deletion of transcripts at any time via the Settings page

2.4 Performance & Usage Data

We track comprehensive performance metrics to help you improve:

  • Interview scores and ratings
  • Response times and correct/incorrect answers
  • Streaks and progress tracking
  • Feature usage (games played, interviews completed)
  • Session duration and frequency
  • App version and device information

All performance data is linked to your unique User ID and is deleted when you close your account.

2.5 Leaderboards (Game Center)

Our app uses Apple Game Center for leaderboard functionality. Apple manages all leaderboard data, display, and privacy settings according to their policies. You can manage your Game Center privacy settings through your iOS device settings.

2.6 Payment & Purchase Information

All payments are processed through Apple's StoreKit (In-App Purchases). We do not store or process payment information such as credit card numbers.

What we track:

  • Subscription status (active, expired, canceled)
  • Purchase history (credits purchased, dates)
  • Transaction IDs (provided by Apple for verification)

2.7 Analytics Data

We collect analytics to understand how users interact with our app:

  • Event tracking (interviews started, games played)
  • Feature usage patterns and session analytics
  • Aggregate usage trends

Not Linked to You:

  • Crash logs
  • Aggregated, anonymized usage statistics

2.8 Device Information

We automatically collect certain device information:

  • Device type and model
  • Operating system version
  • App version
  • IP address (temporarily, for security)
  • General location data (country/region level only, if permitted)

3. HOW WE USE YOUR INFORMATION

3.1 Core Service Delivery

  • Authenticate your account and maintain your session
  • Provide personalized interview questions and scenarios
  • Generate feedback and performance analysis
  • Track your progress and achievements
  • Deliver app features and functionality

3.2 Service Improvement

  • Analyze usage patterns to improve features
  • Identify and fix technical issues
  • Develop new features based on user needs
  • Respond to support requests and feedback

User Feedback Program: If you submit feedback or request help, we may review your data (including transcripts) to understand and resolve your issue. You can opt out by not submitting feedback.

4. THIRD-PARTY SERVICES

We use carefully selected third-party services to deliver our app's functionality:

4.1 Apple Services

  • Sign in with Apple: Authentication and account creation
  • Apple Speech Recognition: On-device transcription (data never leaves your device)
  • Apple Game Center: Leaderboards and achievements
  • Apple StoreKit: In-app purchases and subscriptions

4.2 Firebase (Google Cloud)

Services Used:

  • Firebase Authentication: Manages Apple Sign-In integration
  • Cloud Firestore: Stores user profiles, transcripts, performance data
  • Cloud Storage: Stores resume text data
  • Cloud Functions: Backend processing for interviews
  • Firebase Analytics: Tracks app usage

4.3 Google Analytics

Purpose: Track user engagement and app performance

4.4 OpenAI API

Service: GPT-4o (and related models)

Data Sent to OpenAI:

  • Resume text content
  • Interview conversation transcripts
  • User responses during interviews

NOT Sent:

  • Audio files
  • Payment information
  • Email addresses or personal identifiers

Important: We do not use your data to train AI models. OpenAI's policy for paid API customers ensures your data is not used for model training.

4.5 ElevenLabs API

Service: Text-to-Speech for interview audio
Purpose: Convert text interview questions into natural-sounding speech
Data Sent: Text responses only (no user audio or personal information)

4.6 No Advertising or Tracking Networks

We do NOT:

  • Use any advertising SDKs or ad networks
  • Display advertisements in our app
  • Track you across other apps or websites for advertising
  • Share your data with data brokers or advertisers

5. FUTURE FEATURE: RECRUITER PORTAL (OPT-IN)

Status: Not yet launched

We are developing a feature allowing recruiters to discover talent. Here's how it will work:

Your Control: You must explicitly opt-in, and you can disable at any time. We will update this Privacy Policy before launching this feature.

6. DATA SHARING & DISCLOSURE

Third-Party Service Providers: We share data only with the services listed in Section 4, and only to the extent necessary.

We Do Not Sell Your Data: We will never sell your personal information to third parties.

Legal Requirements: We may disclose your information if required by law, such as in response to a valid subpoena or to protect safety.

Business Transfers: If we are involved in a merger or acquisition, your information may be transferred. We will notify you before your data is transferred.

7. DATA SECURITY

We take reasonable measures to protect your information:

Limitations: While we implement industry-standard security practices, no method is 100% secure. We cannot guarantee absolute security.

8. YOUR RIGHTS & CHOICES

8.1 Access Your Data

Request a copy of all data we have collected about you by:

  • Opening the app and navigating to Settings
  • Following instructions to email us your data request
  • We will provide your data in JSON format within 30 days

8.2 Delete Your Data

To delete specific items: Delete individual transcripts or resume data in-app

To delete your entire account:

  • Navigate to Settings in the app
  • Follow account deletion instructions
  • All data will be permanently deleted within 30 days

What gets deleted:

  • Account information, resume text, all transcripts
  • Performance data and scores
  • Purchase history (transaction IDs retained 7 years for compliance)

8.3 Correct Your Information

You can update your profile information (name, email, university, graduation year) at any time in the app's Settings.

8.4 Opt Out of Analytics

While you cannot completely disable Firebase Analytics (essential for app functionality), you can:

  • Limit ad tracking: iOS Settings > Privacy & Security > Tracking > Allow Apps to Request to Track (toggle OFF)
  • Disable Game Center features in iOS Settings

9. CHILDREN'S PRIVACY

Age Requirement: Our app is rated 4+ and intended for all ages. We do not knowingly collect personal information from children under 13 without parental consent.

COPPA Compliance: If you are a parent or guardian and believe your child under 13 has provided us with personal information, contact us at support@getsharpe.app and we will delete such information within 30 days.

No Age Verification: We do not implement age verification. If you are under 13, you must obtain parental consent before using our app.

10. INTERNATIONAL USERS & DATA TRANSFERS

Data Location: All data is stored on servers in the United States (Firebase US Central or US East regions).

International Transfers: If you access our app from outside the United States, your information will be transferred to, stored, and processed in the United States. By using our app, you consent to this transfer.

GDPR & CCPA Compliance: We aim to comply with GDPR for European users and CCPA for California residents.

For GDPR Users: You have the right to access, correct, delete, and port your data. Contact us at support@getsharpe.app

For CCPA Users (California Residents): You have the right to know what personal information we collect, use, and share. You have the right to delete your information. We do not sell data or discriminate against users who exercise their rights.

Continued Use: By continuing to use the app after we post changes, you accept the updated Privacy Policy.
